Maintain Student Access without Adding to Your User Count

Don't reuse your wiki, clone it!

Wikis are great for students because they allow all wiki users unfettered access once the class has ended. Similar to personal class notes, students can review the wiki to see what was covered during the school year even when class is over.


If you remove a student from your workspace user list, they no longer have access to the content. Instead clone the successful workspace to use the following year.  Next, remove the successful workspace from your campus edition.


Now the original students still have access to the workspace but are not counted on your user count AND incoming students benefit from the existing wiki framework.


Alert your Faculty and Staff Before Making Changes

Before making changes to your list of wikis, let your faculty and staff know that you are cleaning house. (Example email) Find out what wikis will be reused and which are able to removed from your campus license.  A good way of doing this is to have teachers sign up to maintain access. (Example list)


When a wiki is removed from your campus license, the wiki will revert to a basic wiki.  This means that all page and folder security will be maintained though no new security features may be applied. Color, branding and premium customization will no longer work for that wiki. 


Remove Non Active Wikis

Look at the campus dashboard statistics to see if workspaces are inactive (the best way to evaluate this is to look at the number of edits). Remove all inactive wikis.


Remove Teachers No Longer at your Institution

Have you had changes in your staff?  Find out who is no longer with you and remove them from your campus license.


How to Remove Students from your Campus License

To remove students from your campus license, you must remove the wiki for your campus license, or remove the student from the wiki itself.
